A Day In The Life Of A Wedding Planner: A Day In My Shoes

September 10, 2023

If you've ever wondered what goes into making a wedding happen, we're here to tell you: it's a lot! As professional wedding planners, we're tasked with ensuring that everything goes according to plan—and that means coordinating everything from venue rentals and catering arrangements to managing vendors and putting together timelines. For example, let's say you're planning an event where guests will fly in from all over the world. You'll have to coordinate dates with airlines so everyone arrives on time; book rooms at hotels near the venue for out-of-town guests who want to stay overnight; and ensure that flights aren't too early or late so no one gets stuck in traffic on their way there. It's tricky work but fun nonetheless when everything comes together!

8 a.m.: Planners tend to be early risers and early birds.

As a wedding planner, you're going to be up early and working late. You might even have to do some work on the weekends--and that's just fine with us! We love what we do and are always looking for ways to save our clients money by finding them the best deals on everything from flowers to venue rentals.

When I'm planning a wedding, my day typically starts at 8 a.m., when I check my email and read through any vendor contracts that need signing or approval from clients before getting started on any tasks for the day (like ordering supplies). From there, it varies depending on how much time I have available: If it's only an hour or two before another client meeting begins, then I'll jump right into making calls; otherwise, I'll start by checking off items on my task list (which keeps me organized).

8:30 a.m.: More often than not, there are emails to answer and vendor contracts to review for the day ahead.

8:30 a.m.: More often than not, there are emails to answer and vendor contracts to review for the day ahead. This is also when you can't be interrupted as it's an important time of day where you need to get through all your inboxes before starting on anything else.

9 a.m.: A planner's day starts early but ends late, particularly if there's an international flight involved or she has an out-of-town event.

You might think your planner will be a morning person, but most of us are night owls. We're used to getting up early and working late into the evening, especially if there's an international flight involved or she has an out-of-town event. That means you'll find us at our desks before 9 a.m., which is still pretty early compared with how many hours we put in each day!

You won't find me wearing fancy clothes or makeup--at least not during the workday (I save all that for my clients). But I do like wearing bright colors because they make me feel happy and confident when I'm dealing with stressful situations--and believe me, there are plenty at this job!

9:30 a.m.: Staying organized is key for a planner, so the "to do" list will include checking in with vendors, confirming details with the venue and crafting timelines that ensure everything runs smoothly on the big day itself.

At 9:30 a.m., it's time for your planner to check in with vendors and confirm details with the venue. The planning process is all about setting priorities, so this is an important step that can't be overlooked. If you're having a destination wedding, your planner will also need to craft timelines that ensure everything runs smoothly on the big day itself.

As you can see from this example schedule, staying organized is key for a wedding planner--and there's no better way than using an app like Calendly! It allows you to keep track of all contacts across multiple platforms (including email) while allowing them easy access via their browser or smartphone app (or even text). The best part? You can set up automatic reminders so nothing falls through the cracks!

10 a.m.: When scheduling fittings, it's important to consider everyone's schedule and needs as closely as possible -- especially if some of your clients are bridesmaids or guests invited to stay over at the wedding venue overnight before the ceremony begins in the morning!

Even though you're the wedding planner, it's important to consider everyone's schedule and needs as closely as possible -- especially if some of your clients are bridesmaids or guests invited to stay over at the wedding venue overnight before the ceremony begins in the morning!

If you have a large group with multiple fittings, try to schedule them all on one day so that they can be done at once. You don't want someone who has already been fitted having to come back again later on when she could be enjoying herself at an engagement party or rehearsal dinner instead!

Wedding planning requires attention to detail, but can also be fun when you're putting together all the pieces of your clients' special day!

When you're a wedding planner, it's important to have an organized plan for the day. You need to make sure that everything runs smoothly and nothing falls through the cracks. This means keeping track of all the details--from your client's favorite flower color to their favorite song for their first dance. It also means staying on top of timelines and making sure everything happens when it should happen.

You'll be working with many different types of clients as a wedding planner: some want an extravagant affair with lots of guests and decorations; others prefer something simpler but still beautiful with just family members in attendance; some want their wedding ceremony outdoors while others prefer an indoor setting; some will want portraits taken before or after the ceremony while others won't mind skipping those photos altogether because they don't care how they look on camera (and let me tell you right now: there are plenty who fall into this category!). No matter what kind of couple or event comes through your door, though, one thing remains constant: every detail needs careful consideration so that no mistakes are made during any aspect leading up until --and especially during--the big day itself!

Wedding planning can be a lot of fun, but it's also a lot of work! The best way to keep up with everything is by staying organized and keeping your clients informed throughout the process.
